Creating an AI Prompt

A guide to using the prompt builder to create a great prompt.

The Aire Prompt Builder is comprised of several inputs to help you create a successful prompt:

  • Type of Organization (required)

  • Area of Operation (optional)

  • Type of Activity (optional)

  • Types of Records (optional)

  • Location (optional)

  • Type of Application (optional)

Please follow these guidelines when creating your prompt:

  • Enter your inputs in English otherwise the AI won’t know what you’re saying

  • Only use the optional fields if they will add relevant information without being repetitive

  • Don’t repeat the same information across multiple fields, e.g. if you input “accounting department” as the type of organization, you don’t need to specify “accounting records” in the types of records

  • Don’t include processes or functionality

Important:

Be sure to review your prompt before clicking “Next” to make sure it makes sense and isn’t repetitive. Amend your inputs as needed to improve your prompt. When you’re satisfied, click "Next" to save your prompt.

Required Input Fields

App Name

Start by giving your app a short name that identifies it. This doesn’t impact the AI and you can always change the name later.

Type of Organization

Input the type of business or organization or department that the app should manage. For example: financial services company, law firm, advertising agency, humanitarian relief organization, accounting department, real estate network, etc. Be sure to include relevant descriptors such as "company", "firm", "agency", "organization", "department", etc.

Optional Prompt Inputs

Only use these fields if they will add relevant information without being repetitive, otherwise leave them empty. In many cases, you can use different fields or different combinations of fields to achieve the same result. In those cases, use only the fields you need to create the prompt you want and leave the rest empty.

The only cases where you would need to use all of the optional fields is if you want to be highly granular and specific about what you want the app to manage.

Area of Operation

Use this field if the type of organization you’ve specified operates within a specific field of business. For example, if the organization is a department within a larger company, specify the type of company. If the organization is a company, specify the relevant industry or sub-industry or general area of expertise.

Here are some examples:

  • If you input “accounting department” as the type of organization, here is where you would specify the type of organization the accounting department is part of, e.g. “software development” or “electric car manufacturing.

  • If you input “real estate agency” as the type of organization, here is where you would specify the type of activity the agency engages in if it only engages in a specific activity, e.g. “residential sales” or “commercial leasing”.

Important:

If the organization operates in all areas typical for the type of organization, leave the field empty.

Type of Activity

Use this field to specify a particular type of activity the app should manage within the organization. For example, if you specified “software company” as the type of organization, here is where you would specify “development cycle” as the activity you want the app to manage.

Note that while “Type of Activity” and “Area of Operation” can, in some circumstances, be used interchangeably, there are instances where you want to use both of these fields to provide greater specificity.

Here are some examples:

  • Your organization is a “real estate agency”. Your area of operation is “residential sales”. The type of activity you want to manage is “compliance tracking” or “commission management”.

  • Your organization is a “construction company”. Your area of operation is “residential housing”. The type of activity you want to manage is “sub-contractor management” or “supply-chain management”.

Important:

If the app should manage all activities typical for the type of organization, leave the field empty.

Types of Records

Use this field to specify particular types of records that the app should manage. For example, accounts receivables, accounts payable, general ledger, etc. Be sure to use a comma after each type of record.

Important:

If the app should manage all records typical for the type of organization, area of operation or type of activity, leave empty. This field should only be used if you have specific types of records in mind that the app should manage.

AI can be finicky. If you specify specific records, the AI may suggest modules and fields only for those types of records and no others. Or it may suggest modules and fields for some but not all of those types of records. You always add modules related to specific types of records manually and let the AI suggest relevant fields.

Location

Only use this field if the app needs to account for local business practices or regulations that need to be reflected in the suggested modules and fields, otherwise leave this field empty.

Type of Application

Use this field to specify if you have a specific type of application in mind, e.g. CRM, ERP, HRM, and want the AI to include modules typical for such types of applications. Otherwise, leave the field empty.
